Privacy Policy

CafeDash is software for running a coffee shop, built and operated by Artessence Coffee in Jacksonville, Florida (“we”, “us”). This policy explains what information CafeDash at app.artessencecoffee.com handles, why, who it goes to, and the choices you have.
1. Who this covers
CafeDash is used by businesses (“customers”) and the people who work there. Each business’s data is kept separate from every other business’s. This policy covers:
- Owners and staff who sign in to CafeDash.
- People whose information a business keeps in CafeDash, such as the business’s own customers (from its Square account), people who apply for a job, and people who leave the business a Google review.
For that second group, the business decides what it collects and is responsible for it; we handle it on the business’s behalf. If you have a question about a particular café’s records, you can contact that café or us.
2. What we collect
Accounts
Name, email address, role and store access for each person with a sign-in; a hashed password; notification settings; and records of sign-ins and changes made, for security.
From Square, when a business connects it
Sales and orders, the item catalog, locations and hours, team members and timecards, and customer records. CafeDash reads these to build reports, forecasts, schedules and inventory.
What a business adds
Schedules, checklists, recipes, inventory counts, receipts and photos uploaded, notes, menu and website content, and job postings. People applying for a job give their name, contact details and the answers or files they choose to send.
From Google, only when a business connects it
- Google Business Profile: the business accounts and locations you manage (so you can pick yours), the reviews on the location you pick (reviewer’s display name and photo, rating, text and dates) and the owner replies.
- Google Ads: the advertiser accounts you can access, and performance reports for the account you pick (spend, clicks, conversions, campaigns, search terms Google discloses).
- Public place details: the business’s public Google rating and recent reviews, from Google Maps.
Other
The weather forecast for each store, from the US National Weather Service (we send only the store’s location). Basic technical logs (time, address requested, errors) to keep the service running.
3. How we use it
Only to run CafeDash for the business that owns the data: showing reports and alerts, sending the notifications people have turned on, drafting text when someone asks for it, and supporting and securing the service. We do not sell personal information, we do not show advertising, and we do not use anyone’s data to target ads.
4. Google user data
CafeDash’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
What we ask for and why
- Manage your Business Profile (
business.manage): to list the profiles you manage so you can choose one, to check that profile’s reviews every 30 minutes, and to post, edit or delete the replies you write or approve. If the owner turns on automatic replies, CafeDash also posts replies to new 4- and 5-star reviews (at most 10 a day); reviews of 3 stars or below always wait for a person. CafeDash does not change your profile’s details. - Google Ads (
adwords): to read performance reports for the advertiser account you choose. CafeDash does not create or change campaigns, budgets or ads.
How Google data is used and shared
- It is shown only to people at your business whose role allows it (by default, owners and managers).
- When someone asks CafeDash to draft a reply, or automatic replies are on, the review’s rating, the reviewer’s first name, the review text and your notes on tone are sent to Anthropic, which writes the draft. When an owner asks for an AI review of Google Ads results, a summary of those results is sent to Anthropic. Anthropic processes it only to return the result and, under its commercial terms, does not use it to train its models.
- If the owner sets up a webhook (for example with Zapier) for new reviews, the new review’s rating, reviewer name, text and date are sent to the address the owner chose.
- We do not use Google user data for advertising, we do not sell it, and we do not use it to develop, improve or train AI or machine-learning models.
- Nobody at Artessence reads your Google data unless you ask us to help, it is needed for security or to investigate abuse, or the law requires it.
Turning it off
An owner can disconnect Google Business Profile or Google Ads in CafeDash at any time. That deletes the stored Google sign-in and stops all access; reviews and reports already imported stay in your account until you delete the account or ask us to remove them. You can also remove CafeDash’s access from your Google Account at myaccount.google.com/permissions.
5. Who we share it with
Only service providers that help run CafeDash, each receiving just what its job needs:
- Hostinger: the server CafeDash and its database run on.
- Square and Google: when a business connects them, to read and write the data described above.
- Anthropic: AI features such as report summaries, reply drafts, recipe and receipt reading, and answering questions about your business, when someone uses them.
- Our email provider and browser push services (from Apple, Google or Mozilla, depending on the device): to deliver the emails and notifications people have turned on.
- Addresses an owner adds for webhooks, such as Zapier.
We may also disclose information if the law requires it, to protect people’s safety or our rights, or as part of a sale or merger of the business, in which case this policy would continue to apply.
6. Cookies
CafeDash uses one cookie to keep you signed in, and remembers a few display settings in your browser. There are no advertising or analytics cookies. Some help pages load fonts from Google Fonts.
7. Keeping and deleting data
We keep a business’s data while its CafeDash account is open, so its history and reports stay complete. An owner can ask us to delete the account, or specific information, by emailing info@artessencecoffee.com; we will do so within 30 days, and copies in our backups are removed as those backups expire. Anyone whose information a business keeps in CafeDash can also ask us, and we will work with that business to respond.
8. Security
Connections use HTTPS. Passwords are stored only as salted hashes. Google sign-ins are encrypted on our server. Access within a business follows the roles the owner sets. No system is perfectly secure; if we learn of a breach affecting your information, we will tell you.
9. Children
CafeDash is a tool for businesses and is not meant for children under 13. We do not knowingly collect information from them.
10. Changes and contact
